Alma D – Adding a Digital Representation

Alma D is a repository for digital resources. There are multiple tiers under which the resources are organized. Our main collection is Niagara College Libraries and Learning Commons Digital Collections.

Under this main collection are 14 Sub-collections. Once a top-level collection is created sub-collection can be added as needed. For instance: Under the sub-collection, Archives, there are 15 sub-collections. Under the sub-collection College Presidents, there are 2 sub-collections and so on.

The items in a sub-collection are digital resources organized into three tiers:

  1. Bibliographic Record:This is the metadata layer that includes details such as the title, date, resource type, creator, and other descriptive information.
  2. Representation: This tier refers to the digital copy of the resource, which acts as a container for the associated files.
  3. Digital Files: These are the actual files of the resource, which can include images, videos, and other types of media.

How to add a representation to an existing collection.

Log in to Alma click on the side tab Resources and click on Add Digital Representation.

The Representation Details screen will come up. This is where you add the information and the digital item.

 

Here is an example of where to input information:

Scrolling down the page, you will continue to fill in the data as well as upload the file.

The file in this example is a PDF of a newspaper article.  You will note above that you also can choose the Access Rights Policy to limit access to only Niagara College users if necessary.

Once all information is added, click save. Once the item is saved, it will take up to 24 hours to appear in Alma Digital in Primo View.
