Alma D Moving a representation

If a representation is added and needs to be moved to another sub-collection, this can be done easily 

Log into Alma and in the top persistent search bar, select Collection --- Collection Name from the drop-down menus 

Enter the collection name to display all the sub-collections. 

If you want to see all the representations added to a sub-collection, select the 3 dots to the right of the sub-collection  

Select Edit - each time you select Edit; this takes you deeper into the sub-collections until you find the representation you want to move 

Once you have found the representation to move, select it, by checking the small box to the left of the MMS ID, then select Move Selected 

The screen below is displayed – type in the location you want to move the representation to, then click on the new location once it is displayed.    

The representation will automatically be moved to the new location 

There is a time lag with Alma D so representations and changes do not appear instantly. 

Alma D – Explanation of tabs

General – refers to the screen where the data for the sub-collection is entered 

Sub-collections – lists all the sub-collections listed within the top level, main collection 

Title List - are a list of all representations that are added to a collection, but not yet assigned to a sub-collection 

Discovery – this is where you upload the thumbnail for sub-collections 

History – shows the activity on a collection - date, and who last was working on it 

Alma D – Deleting a representation

If a representation needs to be deleted 

Log into Alma and in the top persistent search bar, select Collection --- Collection Name from the drop-down menus 

Enter the collection name to display all the sub-collections.

If you want to see all the representations added to a sub-collection, select the 3 dots to the right of the sub-collection  

Select Edit - each time you select Edit; this takes you deeper into the sub-collections until you find the representation you want to delete 

Once you have found the representation to delete, select the 3 dots to the right, and select Representations 

The screen below is displayed - select the 3 dots again, and then select Delete from the drop-down menu 

After selecting Delete, select to delete the full bibliographic record for the representation you are deleting, because each time you add a representation,  

A bibliographic record is created for that representation, so it is fully searchable in a Page 1+ search.  When a representation is deleted, we want to make sure the entire bibliographic record is deleted too, otherwise we have an empty bib record with no item 

Select SAVE
